Create a workflow

NOTE: Only space owners and admins have permission to create a workflow. If you do not see this option on the upper right-hand corner of the “Workflows Overview” section,  please contact your admin to create one for you or request to update your permissions.

To create a Workflow:

  1. Log in to the Contentful web app.

  2. Navigate to the "AI & Automations" tab.

  3. Select Workflows. If there are no workflows configured, click Create your first Workflow.

    NOTE: Once you configure a workflow, you can create a new one by selecting Create workflow.

  4. Enter a relevant name for your workflow.

  5. Optional: Enter a description that explains its purpose.

  6. Click Create. The "Workflow details" page is displayed.

  7. Under "Content types", select the content type(s) on which you want to apply the workflow.

  8. Under "Workflow Start", select the option on how to start your workflow: manual or automatic. With the “Automatic start” option, workflows will automatically be set to the first step once the entry is created.
    For the “Manual start” option, click Start workflow in the sidebar to initiate the workflow and move the entry to the first step.

    NOTE: Automatic start will be applied to any new entries or pages created after the workflow is configured to the sidebar.

  9. Click Add step, fill in the workflow step name, choose a color to indicate a visual separation between steps, and add description details.

  10. To configure who can change steps or cancel workflows, click Rules.

  11. To configure who can edit an entry or page in this step, click Add a rule.

  12. To configure any actions that should be triggered automatically when this step is reached, click Automations.

  13. To execute tasks when an entry reaches this step, click Add next to the action. These actions include AI actions, notifications or tasks. For more detail on configuring actions, read Workflow automations.

    Optional: You can enable a workflow step to automatically complete and move the workflow to the next step by configuring the automation to the workflow step.

  14. Click Save.

NOTE: Only users with a space admin role have permission to create workflows and define the steps.
